Questions and answers

Short answers to the things that come up most. Each one links to the page with the full story.

No. You stay signed in between visits.

About once a week Assist4Biz asks for your password again as a security check. That is normal. Type it in and carry on.

On the sign-in screen, use the forgotten password link. You ask for a code, type in the code that arrives by email, then choose a new password.

If you still know your current password and simply want a different one, you can change it from inside the app instead. See Settings.

Yes. It is built for your phone first, but it works on a tablet or a computer too. You see the same things wherever you sign in.

Why can I not make an invoice for this customer?

Section titled “Why can I not make an invoice for this customer?”

They have no billing address yet. Assist4Biz cannot issue an invoice without one.

When you pick the customer, a message appears with an Add address button. You can type the street, postcode and town right there without leaving the invoice.

Because you have already invoiced them. The law says those records have to stay.

Assist4Biz offers to make them inactive instead. They stay in your list, their old invoices are untouched, and you can no longer pick them on a new invoice. See Customers.

Choose whichever the customer is. A person is entered with a first name and a last name. A company is entered with one name. Your choice also sets the small picture on their card.

Does every customer need an email address?

Section titled “Does every customer need an email address?”

Only if you have Send PDF automatically switched on. With that on, Assist4Biz needs somewhere to send the invoice. See Settings.

What is the difference between an Item and a Service?

Section titled “What is the difference between an Item and a Service?”

An Item is a thing you have. A Service is something you do. If you choose Item, you also get a box for how many you have right now.

Because you have already sold it. The law says the record has to stay.

Assist4Biz offers to make it inactive instead. It still appears in your Products list so you can look it up, but you cannot put it on a new invoice. See Products.

You can add it without leaving the product you are creating. Tap the category box, then the Create button at the bottom of the list. See Products.

I saved my invoice, but my customer never got it

Section titled “I saved my invoice, but my customer never got it”

Saving is not the same as sending. A saved invoice is still a draft, and your customer never sees it.

Open it and tap Complete. That is what turns it into a real invoice. See Invoices.

Why does my invoice number start with TMP?

Section titled “Why does my invoice number start with TMP?”

Because it is still a draft. Drafts get a temporary number. The real number, such as RE2026-0164, is given when you complete the invoice.

If you have Create e-invoices switched on, your bank details have to be filled in first. Open Settings, then Company, and fill in the Banking part. You only have to do this once.

I made a mistake on an invoice I already completed

Section titled “I made a mistake on an invoice I already completed”

A completed invoice cannot be changed. To correct it, void it and make a new one.

Check your lines and totals before you tap Complete.

The law does not allow it. You can only void it, which leaves a record of what happened.

Drafts are different. You can delete a draft, because your customer never saw it.

That is on purpose. If you use only one tax rate and have set it up that way, there is nothing to choose, so Assist4Biz applies your rate for you.

Turn on a second rate under Taxes and the box appears.

Your draft is created the moment you start it, so leaving deletes it. Assist4Biz asks first and offers Keep editing or Delete draft.

Switch on Track payment status in Document Preferences. That adds Paid and Unpaid to your invoices and puts the Open and Paid buttons above your invoice list. See Settings.

Yes. Open the completed invoice, tap the ⋮ menu, and choose Send by email. If your customer has no email address saved, Assist4Biz tells you so.

Open last month’s invoice, tap the ⋮ menu, and choose Duplicate. The copy opens ready to edit.

How do I change the tax that comes up automatically?

Section titled “How do I change the tax that comes up automatically?”

Open Taxes, tap the rate you want, and turn on Set as default. It is then chosen automatically on every new invoice line. See Taxes.

A tax rate is missing when I make an invoice

Section titled “A tax rate is missing when I make an invoice”

It is probably switched off. Open Taxes and turn it on. Rates that are off stay in the list, so nothing is ever lost.

In Germany many businesses are obliged to send them, above all when invoicing other businesses. Check whether that applies to you before switching it off. See Settings.

Can I change the email my customers receive?

Section titled “Can I change the email my customers receive?”

Yes. Open Document Preferences, then E-Mail Template. You write the subject and the message once, and Assist4Biz fills in the customer name, invoice number and total each time it sends. See Settings.

Open Settings, scroll to App Preferences, and tap English, Deutsch or Español. Your choice is saved to your account. See Settings.

Open Settings, then Support under Help & Legal. You can describe the problem, point at the invoice, customer or product it concerns, and attach a screenshot.
